Catering Reservations ~ Procedures & Policies

All food and beverage items must be purchased and prepared by Le Club Calumet staff. No outside catering service is allowed to purchase or prepare any food or beverage items to be consumed in our facilities, as our catering license prohibits us from doing so.
Outside food or beverages ~ no alcoholic or non-alcoholic beverages other than that provided by Le Club Calumet may be brought onto the premises. No food other than the food provided by Le Club Calumet may be brought onto the premises unless otherwise agreed upon.
The lessee will not be allowed to remove any food or beverage items, which were not consumed by those in attendance, from the premises. All food and beverages remain the property of Le Club Calumet, even if the lessee did not meet the guarantee stated to the lessor.
The lessee will be responsible for any loss or damage to the building, equipment, decorations, or fixtures inor around the Club's property that occurs during the event due to the activities of the guests. Le Club Calumet will be held harmless by the lessee for any loss or damage to property belong to the lessee, guests of the event, or the Club.
Decorations to walls, ceilings or equipment will only be allowed by our own designated person. If you require decorations in these areas, please make arrangements with the person whose name we will make available to you.
Guarantees & Cancellations
Final headcount and guarantee ~ a final headcount is due ten (10) business days before the date of the event. The Lessee will be responsible for the total food cost based on the final headcount guarantee. If there is an overage of attendees, the Lessee will be responsible for additional costs associated with any overage that exceeds ten percent (10%) of the final headcount guarantee.
Cancellation ~ if the Lessee must cancel the event, the Club must be notified no later than seventy-two (72) hours before the event. Cancellations not received in a timely manner are subject to up to fifty percent (50%) of the agreed upon number of attendees (guaranteed count).
A twenty-five (25%) non-refundable deposit on facility rental (to be deducted from the final bill) is required at the time of booking our facilities for all banquet hall rentals. Also, a twenty-five (25%) non-refundable deposit on catering charges (to be deducted from the final bill) is required. Lessees will be billed Maine State Sales Tax and a twenty percent (20%) service charge on food items only. Meal prices are subject to change without notice however, an effort will be made to inform the Lessee of any price changes.
Linen or paper tablecloths and napkins are available in a variety of colors. There is a charge for linen tablecloths and napkins.
Full payment is required ten (10) business days before the date of event. Payment must be in the form of cash, check or credit card. Open bar costs, if any, will be invoiced at the close of the event and payment received by Le Club Calumet at that time. Catering and/or facility fees include glasses, plates, silverware, coffee cups, easel(s), podium, laptop stand and tables & chairs at no additional cost.

Alcoholic Beverage Services
Our Liquor License restricts admission to members of your party and their guests only. Any attempt to include the general public by advertisement or any other means will be grounds to close our liquor facilities and/or cancel the function. All expenses incurred up to the time of cancellation will be the responsibility of the Lessee.
If alcoholic beverages are being served, the State minimum age for consumption must be observed. All alcoholic beverages served on the property must be provided by Le Club Calumet. Unless the Lessee is hosting an open bar, the sale of all beverages is cash only. An ATM is available. Alcohol sales and service are regulated by Maine law through the Maine Bureau of Alcoholic Beverages. Le Club Calumet, as a Liquor Licensee, is responsible for adhering to Maine law on the sale and service of alcohol. As a Liquor Licensee or as required by our liquor liability insurance, Le Club Calumet reserves the right to refuse the sale or service of alcohol permitted to be sold or served under Maine law.
No alcoholic beverages may be brought into or taken out of the building for consumption. Alcoholic beverages must be consumed inside the halls and are not allowed in the parking area or beyond the facility doorways leading outside the facility, as this would constitute a violation of State Liquor Laws and our Liquor License.
